Automate Sales Invoice Creation from Email Requests
GUIDE enables finance and sales operations teams to automate the creation and distribution of customer invoices directly from email requests. Instead of manually reviewing emails, entering invoice details into accounting systems, generating PDF documents, and notifying stakeholders, GUIDE completes the entire process automatically across Outlook, accounting software, and Microsoft Teams. This use case demonstrates how organizations can accelerate billing operations, improve accuracy, and eliminate repetitive administrative work.

In this example, we demonstrate how GUIDE automates the creation of a sales invoice from an email request and completes the process across Outlook, a native accounting application, and Microsoft Teams.
We start in GUIDE with a seven-step workflow that coordinates actions across multiple applications. To begin, we simply click Run.
First, GUIDE opens Outlook and identifies a new invoice request from Sales. It extracts key details from the email, including the sender, Sally Johnson, the customer name, and the line items with their descriptions and prices.
Next, GUIDE launches the native Windows application, Express Accounts, and selects Create New Invoice.
GUIDE then completes the invoice form by entering the customer name and adding each line item with its description and unit price. Because Sally Johnson owns this account, she is automatically assigned as the salesperson. The deposit account is set to Checking Account.
Once the invoice is complete, GUIDE selects Record and Save PDF, naming the file using the customer name along with the invoice number.
GUIDE then returns to Outlook, replies directly to the original email, adds a short message—"Attached is your invoice"—attaches the PDF, and sends the response.
Finally, GUIDE opens Microsoft Teams and posts a notification to the Sales Executive channel, including the invoice as an attachment.
What would normally require multiple manual steps across different systems is now completed seamlessly with GUIDE.
